Le Guess Who Foundation Privacy statement

Le Guess Who Foundation (hereafter referred to as LGW) wishes to explain how it handles and uses your personal data. LGW values the privacy of visitors, volunteers, artists, and all employees, and is responsible for all provided data, while ensuring the protection of the data being handled. We will treat data confidentially and in accordance with the requirements of the General Data Protection Regulation (GDPR).
We process your data in order to provide different services, for example selling tickets, sending newsletters or WhatsApp messages, or providing information via our website.
This privacy statement will explain the processing of all personal data: what kind of data is collected, how it is collected and for what purpose. As this privacy statement is subject to change, it is recommended that you occasionally check this document to stay informed about any potential changes.
Which personal data is processed by LGW?
LGW processes personal data for the purposes as later explained in this Privacy Policy. LGW may process personal data such as:
- First name and surname
- E-mail address
- Gender
- Place of residence
- Date of birth
- Telephone number
Tickets
When purchasing a ticker for the festival, LGW may ask for personal data such as name, gender, e-mail address, phone number and place of residence. Providing us with personal data other than the required e-mail address is optional. During this process you can opt-in to receive newsletters and promotions.
LGW uses this information to gain insight into our target groups for the event and for necessary administration purposes, such as providing you with the ticket and to contact you about the festival — not to identify individual visitors. All ticket buyers will receive an e-mail which contains all necessary information concerning the festival. An audience survey will be sent afterwards. CM.com is the third-party service provider for the processing of the audience surveys on behalf of LGW.
Yourticketprovider is the official ticket provider for LGW. Your personal data will be shared with Yourticketprovider upon registering for a ticket, to issue the invoice and process payment for the ticket as well as to provide you with the ticket and send you service e-mails about the festival.
Persons who have not yet reached the age of 16 (minors) may only register for a ticket with the consent of a parent or legal guardian. The parent(s) or legal representative of the minor user must read this privacy policy in the interests of the minor user and can exercise the rights of the user in question instead of the minor user.
Website
Web browsing data can be collected by LGW to optimize and analyze the visit and use of the website. This data will be made anonymous as much as possible. The LGW website uses cookies and Google Analytics to gain insight about the user-friendliness of the website, as well as to define our audience’s navigating habits to improve the navigation experience on our website and to customize digital advertising via remarketing, re-engagement, and similar audiences. The web browsing data, including IP address, will be provided to Google solely to make use of these services.
A cookie is a small piece of text sent to your browser by a website you visit. It helps the website to remember information about your visit, like your preferred language and other settings. That can make your next visit easier and the site more useful to you. In your browser settings, you can choose to receive a warning each time a cookie is being sent, or you can choose to turn off all cookies and remove all data previously stored.
Newsletter
LGW sends out newsletters regularly to those who signed up for the feature on the LGW website, and/or to people who registered for this function when purchasing a festival ticket. This means permission is given by you to LGW to process the provided data for the purpose of providing you with information on any news and developments concerning the festival.
Newsletters are sent via Mailchimp. Newsletter recipients are able to unsubscribe from the newsletter at any given time, in which case the data will be deleted from LGW and Mailchimp’s records. Unsubscribing can be done via the link from the newsletter or by sending LGW an e-mail with the request.
Volunteer management
Volunteers are asked to register for an informative, festival mailing list, and each year the volunteers of the previous edition will be asked if they would like to re-register for the upcoming edition. Volunteers are able to unsubscribe from this list at any given moment. LGW has the right to store the information about volunteers who have worked for the festival in the past for a maximum of two years. The information stored is: name, surname, function, e-mail address, and the year of volunteering.
Personal data of volunteers for the current edition of the festival is used in order to enter into a volunteering agreement and for related administrational purposes.
LGW Supporters
When registering to become a supporter of LGW, LGW will ask for detailed personal data which is essential for internal management. Note that the membership will not automatically be extended, but LGW does store data in order to inquire if supporters would like to continue their support for an additional period. The personal data stored is: name, surname, age, bank account details, address details and e-mail address.
LGW on WhatsApp
Purchasers of LGW tickets have the option to sign up for the LGW WhatsApp service, where visitors receive additional information regarding the festival. The information stored is: telephone number. Subscribers are free to unsubscribe at any time by sending an e-mail to info@leguesswho.com, in which case their telephone number will be deleted from LGW’s records.
Video or photography during the festival
LGW may record visitors, volunteers, artists, suppliers and staff/employees of third parties by means of photography and audiovisual registration. These recordings and/or photographs may be shared on various (social) media channels. By visiting the festival venue(s) you consent to being photographed and/or recorded on video.
LGW and its media partners do not owe any compensation for this to visitors, volunteers, artists or employees. The data will not be used for any other purposes than described above. Please contact LGW by e-mail at info@leguesswho.com if there is an image published online which you would like to have deleted.
For which purposes does LGW collect data?
We process data in order to conclude an agreement (such as ticket sales and volunteering) and to perform the agreement (such as service emails, process payments); provide promotional information on our range of services mentioned above and to tailor the information as effectively as possible to your personal interests and preferences, e.g. via newsletters or social media; enable you to use our website and to analyze website visits for marketing purposes; conduct market research in order to further develop the festival; ensure your safety; comply and with relevant laws and legislation.
Does LGW share data with third parties?
We may share your information with our external service providers to allow them to provide services to us (such as ticket sales, payment processing, sending newsletters or market research, as mentioned above). In such cases, we conclude agreements to ensure optimum security and confidentiality.
How long do you retain data?
LGW does not hold onto personal data any longer than necessary for the execution of services and agreements, unless retention of data is required by law for a longer period of time.
What are my rights?
